Research registration: Good advice regarding registration of projects in Pure

The VBN Research Portal is a platform for dissemination of research carried out by, or in collaboration with, Aalborg University. The platform displays research information from Pure, the research management system that AAU has used for research registration since 2003. Confidential, or otherwise protected information, is not displayed in VBN. It is the responsibility of the individual researcher not to display information (e.g., in publications or datasets) that contravenes with the General Data Protection Regulation.

Projects are submitted in Pure under the headings "Research”," PhD", or "other ". Read more about how to register projects in Pure on the VBN Team's website. It is up to the individual departments, whether there should be drawn up internal guidelines for the registration of projects and, if so, how these should be formulated. If a project is interdisciplinary, you must appoint one administrative unit and one administrator, who is responsible for maintaining project content in Pure/VBN.

The VBN Research Portal displays content in both Danish and English. We recommend that all types of information in Pure be entered in both Danish and English. This increases the visibility of projects in connection with information searches and strengthen their dissemination.

You must add entries in Danish and English under the respective language tabs - not on the same page:

Project information

In order to achieve as wide a dissemination of a project as possible, we recommend that you enter the following information:

  • Project title: State project title, as well as any project acronyms.
  • Participants: State persons affiliated with the project and their individual roles (Principal Investigator, co-investigator, project coordinator, PhD etc.).
    All AAU staff members are registered in Pure, and thus easy to attach to the project.
    External collaborative partners must be registered in Pure before you can add them to the project.
  • Organizational units: You can affiliate an interdisciplinary project with several organizational units. Remember to state the administrative organizational unit first.
    If a project is interdisciplinary, you must appoint one administrative organization (and person), who is responsible for maintaining all project content in Pure/VBN.
  • Project description: The project description is a free text field where you can present the project to the general reader. In addition, you should state any project specific information - e.g. external facilities etc. The free text field increases the project’s visibility, as the portal’s search functions search all metadata.
  • Free keywords: Do not omit adding specific keywords, as they help to increase the project's visibility in searches.
  • Start and end dates (when known): A project without an end date will continue to appear as active on both the project page and in the affiliated person’s profiles after the end of the project. Among other things, they are visualized as graphs in the upper right corner of the profile pages.
    This may affect organization reports that wrongfully include them as active.
  • Project-related research: Project relevant content types that are entered in Pure (publications, activities, press, etc.) are related to the project, and consequently displayed on the respective pages in the VBN Research Portal.
  • Collaborative partners: State any partner organizations (research institutions, companies, etc.) or persons.
  • Facilities and equipment: If any AAU facilities or equipment are used in the course of a project, you can state and affiliate it on the project page. See the VBN Team’s homepage for information how to register facilities and equipment at the university! Information regarding use of external facilities or equipment should be stated in the free text field.
  • Funding: State any research funding and source.
  • Links: Add links to e.g. other active project homepages if relevant.
  • Project completion: When a project is completed, you should add a free text summary of its main results.
  • Relations: A key point in the construction of project pages in the VBN Research Portal is that relevant research entries are linked to each other when the content is recorded. A project page will display all the related content types: Publications, activities, etc. If there are press cuttings that relates to a project, these must be added manually, even though press cuttings usually are imported automatically.

Not only will display of related content increase the visibility the project products, is also serves as a quantitative indicator of both academic and social impact. At the same time, it enhances the promotion of persons affiliated with the project.

The VBN Team is happy to assist you in all matters pertaining to Pure and research dissemination via the VBN Research Portal. We offer introductory courses to Pure and the VBN Research Portal. All courses are announced through the university’s course catalogue.

Purpose and delimitation

The VBN Research Portal at Aalborg University supports communication of research from Aalborg University as well as promotion of the university’s researchers. The Research Portal is publicly available and used by a wide range of both professionals and non-professionals.

The following sections describe recommendations for registration and dissemination of research projects through the VBN Research Portal.

Overall framework

The recommendation is written in connection with the implementation of the new VBN standard portal for research.
