As principal supervisor you are responsible for the student’s PhD programme, pursuant section 8, subsection 1, in the Ministerial Order on the PhD Programme at the Universities (PhD order).
The PhD plan
The PhD student is responsible for producing a PhD plan in collaboration with you. The PhD student submits the PhD plan in PhD Manager, whereupon you will receive the electronic approval. For further details, see the document ‘PhD plan and progress reports’ on the website of the Doctoral School under ‘Guidelines’.
As principal supervisor you are to confirm, in writing, four times within the enrolment period of the PhD student whether the student is following the PhD plan and to justify in writing why, if any, adjustments to the PhD plan are required. This is based on the student’s portfolio in PhD Manager combined with an oral discussion. In the assessment of whether the progress of the PhD study has been satisfactory, documented periods of illness, maternity/paternity leave and other approved leave shall be taken into consideration. In connection with the 2nd and 4th assessment, the Head of Doctoral Programme at the department will initiate a meeting at which you as principal supervisor, the PhD student, the secondary supervisor (if relevant), and a person appointed by the Head of Doctoral Programme, will discuss how the PhD project is progressing and whether there are special considerations in connection with the completion of the PhD project. The internal assessment is made in PhD Manager. For further details, see the document ‘PhD plan and progress report’ under ‘Guidelines’ on the website of the Doctoral School.
Supervisor’s statement in connection with submitting the PhD thesis
As principal supervisor, within one week from the submission of the PhD thesis, you shall submit your written opinion on the PhD programme as a whole, including the completion of the individual elements of the PhD plan. The statement shall be forwarded to the Department who will then pass it on to the Doctoral School. A template for the supervisor’s statement is available on the Doctoral School’s website under ‘Forms’. The statement is to be filled out in both Danish and English and is to be signed as it forms an integral part of the PhD diploma.
Expert assessment committee
Pursuant to section 16, subsection 2, in the PhD Order, please note that you shall, in your capacity of principal supervisor assist the assessment committee without voting rights. This means that the principal supervisor, as an observer, is called to the meetings in the assessment committee and is informed of e-mail correspondence etc. The principal supervisor therefore is to be kept informed, but is only expected to intervene with the purpose of explaining any uncertainties that may arise regarding the PhD study and the progress of the research project in question.
